Junior Logistics Specialist
JOB OVERVIEW
The Branch Logistics Specialist is a vital operational role responsible for assisting with the coordination of new vehicle logistics at the branch level, ensuring the smooth movement of cars from arrival to customer delivery, and maintaining accurate vehicle stock records. Reporting directly to the Branch Manager for branch operational alignment and functionally to NSC Logistics, this position is crucial for efficient vehicle flow and supporting sales and customer delivery processes.
KEY RESPONSIBILITIES
New Car Stock Yard Operations Management:
Assist with coordinating the efficient arrival of new vehicles to the branch from central depots or direct shippers.
Manage the receiving process for new vehicles, including meticulous quantity verification, performing initial damage inspection, and proper documentation upon arrival, following all established logistic SOPs.
Ensure newly received vehicles are parked efficiently and accurately in their dedicated parking slots within the stock yard to maintain optimal space utilization and easy accessibility.
Conduct regular physical counts of new vehicle stock at the branch and report discrepancies promptly to the Branch Manager and NSC Logistics.
Vehicle Movement Coordination (Branch Level):
Coordinate the preparation and dispatch of vehicles for PDI and final customer delivery.
Track vehicle movements within the branch premises and to final customer delivery points.
Assist with coordinating the efficient arrival of new vehicles to the branch from central depots or direct shippers.
Logistics Documentation & Record-Keeping:
Prepare and manage all necessary logistics documentation for vehicle movements at the branch, including internal transfer forms, delivery notes, and gate passes.
Ensure accurate record-keeping of vehicle arrivals, departures, and changes in vehicle status (e.g., from yard to PDI, from PDI to delivery).
Customer Delivery Coordination:
Coordinate directly with customers to schedule convenient vehicle delivery appointments from the branch, ensuring vehicles are ready and all necessary paperwork is prepared for a smooth handover.
Provide customers with clear and concise relevant delivery information.
Quality & SOP Adherence:
Conduct thorough visual inspections of vehicles for condition upon arrival and before customer delivery, noting any pre-existing damage.
Report any damage identified during the receiving inspection directly and promptly to NSC Logistics for immediate action and record-keeping.
Ensure strict adherence to NSC logistics SOPs for vehicle handling, storage, and delivery at the branch level.
Communication & Collaboration:
Liaise with the NSC Logistics team for vehicle allocation, inbound shipment notifications, and policy updates related to vehicle movement.
Communicate effectively with the Branch Sales Manager, PDI Manager, and sales consultants regarding vehicle availability and delivery status to align on customer expectations.
Coordinate with customers for seamless delivery logistics.
SKILLS AND COMPETENCIES
High school diploma or equivalent
Must speak Arabic and basic English.
Basic understanding of safe vehicle handling, movement, and storage practices for new cars.
Ability to assist in coordinating vehicle movements, deliveries, and schedules efficiently.
Strong attention to detail for managing logistics paperwork, vehicle records, and ensuring accurate data entry.
Basic understanding and willingness to use DMS or logistics tracking software for vehicle status updates.
Ability to perform tasks requiring physical exertion in a stock yard environment, including standing for extended periods and overseeing vehicle movements.
Basic ability to identify and report logistics issues, such as delivery delays or stock discrepancies, including damage identification and reporting.
Focused on ensuring efficient vehicle flow and accurate record-keeping to support sales and customer delivery timelines.
Understanding of local work environment, transportation nuances, and cultural practices in Iraq.
